General

 

  1. All members and guests of Woodland Champions Club must comply with these Terms and Conditions. Failure to do so may result in suspension or termination of membership.
  2. Members are responsible for ensuring that they, and anyone staying with them, adhere to the Countryside Code, the Caravan Code, and the Seashore Code (see Annexes 1a–1c).
  3. Certified sites may only be used for recreational camping and glamping purposes. Members must not use any site as a permanent residence, place of work, or for any unrelated commercial activity.

The Venue

  1. Members and guests must comply with any site-specific rules, requirements, and safety instructions in addition to these Terms and Conditions.
  2. Campfires are only permitted where expressly authorised by the site owner or manager.
  3. Barbecues may only be used in designated areas where permitted. If you are unsure where these areas are located, please consult the site owner or manager before use.
  4. Members and guests must take reasonable care to protect the site and surrounding environment. Trees, hedgerows, fences, buildings, equipment, livestock, and wildlife must be treated with respect and must not be damaged or disturbed.
  5. Wastewater, chemical waste, and toilet waste must be disposed of responsibly and must not be allowed to contaminate the land, watercourses, drains, or natural habitats. Appropriate disposal facilities should be used at all times.

Administration

  1. Members must provide accurate details of all visitors staying on a site when requested by the site owner, manager, or Woodland Champions Club.
  2. When making a booking, members must provide complete and accurate information for all guests and visitors included in the reservation. Failure to provide correct information may result in the booking being refused, amended, or cancelled.
  3. Members and guests must arrive and depart within reasonable hours, or at the times agreed with the site owner or manager.
  4. If you need to cancel a booking, you must notify the campsite or site owner as soon as possible.
  5. Repeated failure to attend booked stays without prior notice ("no-shows") may result in suspension or termination of your Woodland Champions Club membership.
  6. Where full payment has been made, cancellations must be received at least 14 calendar days before the scheduled arrival date to qualify for a refund. A non-refundable administration fee of 10% will be deducted from all eligible refunds. Cancellations received less than 14 calendar days before the arrival date are not eligible for a refund.

    Nuisance and Conduct

    1. Any complaints regarding the behaviour of other members or guests should be reported to the site owner, manager, or Woodland Champions Club as appropriate.
    2. Members and guests must respect local communities and ensure that local residents, landowners, and businesses can continue their normal activities without unreasonable disturbance. Reasonable steps should be taken to minimise disruption and to address any concerns or complaints promptly.
    3. Any serious incidents, accidents, disputes, or breaches of these Terms and Conditions must be reported to Woodland Champions Club as soon as reasonably practicable.
    4. Where permitted, dogs and other animals must be kept on a lead and under close control at all times. Animals must not be allowed to roam freely, cause nuisance, disturb wildlife, livestock, other guests, or local residents. They should be exercised away from camping units and communal areas wherever possible, and owners must immediately clean up and properly dispose of any waste.
    5. Noise must be kept to a reasonable level at all times and minimised during evening and night-time hours to ensure the comfort of other guests and those living or working nearby.
    6. Any behaviour that is abusive, threatening, disruptive, unsafe, or detrimental to other site users, site staff, local residents, members of the public, wildlife, livestock, or property may result in you being required to leave the site immediately. In such circumstances, no refund will be provided, and your Woodland Champions Club membership may be suspended or terminated.

      Fire Precautions and Emergency Procedures

      1. Open fires, fire pits, chimineas, and barbecues are only permitted with the prior permission of the site owner, manager, or other responsible person. Where permission is granted, they must be located on suitable open ground in designated areas and kept well away from tents, glamping units, caravans, motorhomes, vehicles, awnings, buildings, signage, dry vegetation, and any other combustible materials. Fires must be attended at all times and fully extinguished before being left unattended or vacating the site.

        Refuse Disposal

        1. Members and guests are responsible for disposing of all litter, refuse, and recycling appropriately. Before leaving the site, all waste must either be placed in the designated waste and recycling facilities provided or removed from the site and disposed of responsibly elsewhere. Pitches, camping areas, and communal spaces must be left clean, tidy, and free from rubbish.
